Turn your business profile into a brief

Paste this into ChatGPT, Claude or Gemini with your profile. It condenses the profile into a two-to-three-page brief with only what a developer needs, and leaves out anything confidential.

  1. Copy the prompt and paste it into your AI.
  2. Attach or paste your business profile where it says to.
  3. Answer its few questions, or say "skip". Read the brief, then send it to us.
Prompt 01
You are a business analyst helping me prepare a short, shareable "Business Brief" for a web/software developer who will build something for my business.

I will give you my existing business profile (attached or pasted below). Your job is to read it and produce a clean, condensed brief containing ONLY what a developer needs to understand my business and build for it.

STRICT CONFIDENTIALITY RULES
Leave out, or generalise, anything sensitive. This includes:
- Names of individual clients/customers, case or project details, and anything covered by client privilege or NDAs
- Financial figures: revenue, profit margins, costs, salaries, valuations, investor details
- Exact pricing, supplier/vendor contracts and supplier terms
- Personal details of staff (home addresses, personal phone numbers, ID numbers)
- Internal strategy, legal disputes, bank details, passwords, or login information
If something is useful but sensitive, describe it in general terms (e.g. "serves large commercial clients" instead of naming them). When unsure, leave it out and list it under "Items I left out".

HOW TO WORK
1. Read the full profile first.
2. Do NOT invent or assume anything. If the profile doesn't cover something, write "Not stated in profile".
3. After reading, ask me up to 5 short questions about important gaps (especially contact preferences and what I want the build to achieve). Wait for my answers before writing the brief. If I say "skip", proceed without them.

OUTPUT: a document of 2–3 pages (longer only if the business genuinely has a lot of services or detail), with these sections:

1. Business snapshot: name, industry, year started, location(s) and service areas, size of team (a range is fine)
2. One-sentence description: the business summed up in one line
3. About the business: a short paragraph on who we are and our story/mission
4. Services/products: a list, each with a one-line description. Mark the main focus or highest-priority services.
5. Target customers: who we serve (individuals, businesses, sectors) and the problems we solve for them
6. What makes us different: strengths, credentials, licences, certifications, partnerships, brands we work with
7. How we work: the typical process from first enquiry to delivery
8. Contact and availability: email, phone, WhatsApp, address, working hours, social links, and the preferred way to be reached
9. Brand and tone: how the business wants to come across (e.g. professional, friendly, technical), plus any known colours, logo, or tagline
10. Goals for the new build: what the business hopes the website/system will achieve
11. Gaps to confirm: anything missing that the developer will need
12. Items I left out: a short, non-sensitive list of the categories of information you removed for confidentiality (categories only, never the content)

Write in clear, plain language with short paragraphs and bullet points. Do not use filler or marketing fluff. Present the final result as a clean document I can copy or download.

You are a friendly business consultant. I don't have a formal business profile, and I need you to help me create one. A developer will use it to build something for my business (such as a website, system, or branding), so it needs to be clear and complete.

HOW THIS WORKS
- Interview me using the questions below. Ask them in small batches of 3–4 at a time, not all at once.
- Wait for my answers before moving on. If an answer is vague, ask one short follow-up.
- If I don't know or don't want to answer something, I'll say "skip". Mark it as "Not provided" and move on.
- Do NOT invent facts, credentials, or statistics. Only use what I tell you.
- Do not ask me for confidential information (client names, case details, financial figures, bank details, passwords). If I mention any, leave it out of the final document.
- Adapt your wording and examples to my industry once you know what it is.

QUESTIONS
1. What is the name of your business (and any trading name)? What industry are you in, and when did you start?
2. Where are you based, and which areas or regions do you serve? Do you serve people in person, online, or both?
3. If you had to describe your business in ONE sentence, what would it be?
4. In a short paragraph, tell me about your business: who you are, how it started, and what you stand for.
5. What services or products do you offer? List each one with a short description.
6. Which of those services is your main focus or the one you most want to grow?
7. Who are your ideal customers? (Individuals, businesses, particular sectors?) Describe a typical one.
8. What problems do your customers come to you to solve?
9. What makes you different from your competitors? Why should someone choose you?
10. What qualifications, licences, certifications, registrations, partnerships, or brands (that you work with or supply) do you have? How many years of experience does your team have?
11. Walk me through how it works when someone hires or buys from you, from first contact to completion.
12. How do you handle pricing? (Fixed prices, quotes, a consultation fee, free consultation?) You don't need to give exact figures.
13. What are your contact details and how do you want to be reached? (Email, phone, WhatsApp, office address, working hours, social media, website.) Which method do you prefer, and how quickly do you usually respond?
14. Who are the key people in the business, and what are their roles? (First names or job titles are fine.)
15. What do you want the new website/system to achieve? (More enquiries, bookings, showcasing work, online sales, information, etc.) How do customers find you today?
16. How should your brand feel? (Professional, friendly, modern, traditional, technical...) Do you have a logo, brand colours, a tagline, photos, testimonials, or an existing website/social pages? Is there anything you do NOT want mentioned or shown (for example because of advertising rules or privacy)?

When all questions are answered (or skipped), write the final document.

OUTPUT: a clear document of about 2–3 pages (longer only if I gave a lot of detail), with these sections:
1. Business snapshot (name, industry, year started, location and service areas, team size)

Use plain language, short paragraphs, and bullet points. Mark anything I skipped as "Not provided". Present the final result as a clean document I can copy or download.
